The event
National congress of a medical association: four days, attendance of 1600 people, very complex program, 1100 sq m exhibition area.
The challenge
To submit to the Società Italiana di Nefrologia the candidacy of Rimini as host of their 49th Congress. The promoter is Professor Leonardo Cagnoli, member of the Club of the Ambassadors of the Riviera of Rimini (Club degli Ambasciatori della Riviera di Rimini), who on previous occasions organised other events of the Società Italiana di Nefrologia in Rimini. This time the aim was to succeed in appointing Rimini as hosting city of the 2008 National Congress.
The solution
Professor Leonardo Cagnoli, President of the Local Organising Committee, requested the assistance of CBRR from the first steps of the bidding process to the end of the congress. SIN appointed the organising secretary to ACX Adria Congrex of Rimini, as they had already had the opportunity of appreciating their expertise, having been working together for many years also on events held in different places.
Aspects and requirements of the event
The SIN congress required a wide appropriate venue, which could provide many meeting rooms of different size and a big expo area, with state-of-the-art technical equipment and perfect organisation. The first meetings started at 7:30 a.m., followed by plenary sessions, round tables, collateral symposia, meetings and workshops, some of which lasted as late as 8:00 p.m. Lunch breaks were replaced by lunch symposia, while box-lunches were served in the meeting rooms. In the two central days, 13 catering services with box-lunches for 3,200 meals.
The role of CBRR
Convention Bureau assisted the client in preparing and supporting the bidding process and in choosing the Palacongressi convention center as a venue for the event. It also provided its assistance in all the aspects of the event. With the aid of its in-house planning office "Archetipo", CBRR took care of the fitting out of the congress location and developed the client’s idea of characterizing the congress with the image of Federico Fellini. It also took care of the services' marketing related to the sale of the exhibition areas, from the connections to the mains to the box-lunch service, relieving the client from such duties.
The client’s comments
"Convention Bureau provided us with precious assistance under every point of view: the set up of the halls, the scenography and the projection, a crucial elements for the good result of a congress. CBRR and the staff of the Palacongressi were highly professional and followed us in every phase. We also took advantage of the top level suppliers that the city has to offer. Rimini is a city enjoying a high-standard quality of life; hotels have competitive prices and the Palacongressi is a large complex structure where everything runs smoothly. After the congress, we received many letters with compliments. Both the participants and the exhibiting companies asked us to hold the next congress in Rimini again".
